Private Venue Booking
Muse & Co offers private event bookings for birthday parties, corporate team building, bridal showers, school groups, and more. This page covers how private bookings work from the staff perspective -- from the initial inquiry through the event itself.
How Customers Book
Customers can request a private booking in two ways:
| Method | Details |
|---|---|
| Online | ncmuse.co/book-space -- fills out an inquiry form |
| hello@ncmuse.co -- freeform request |
INFO
Private bookings are not instant-confirmed. Every request goes through the admin portal where a quote is generated and sent to the customer for approval.
Two Bookable Spaces
Muse & Co has two distinct spaces available for private bookings:
| Space | Capacity | Best For |
|---|---|---|
| Art Space | Up to 12 guests | Intimate painting sessions, small birthday parties, bridal showers |
| Entire Venue | Fire code: 76, standard seating: 34 | Corporate events, large parties, full buyouts |
Availability
| Space | Available Days | Notes |
|---|---|---|
| Entire Venue | Monday or Wednesday | Full venue is only available on days closed to public or low-traffic days |
| Art Space | Tuesday through Sunday (during business hours) | Can be reserved while the cafe remains open to the public |
What Is Included
Every private booking includes:
- Use of the booked space (Art Space or Entire Venue)
- Tables and chairs arranged to the customer's needs
- Guests can order from the cafe menu, or choose a drink package
- Optional add-on: art instruction (the base booking is space only -- art supplies and an instructor are an add-on, not included by default)
TIP
When generating a quote in the admin portal, make sure to ask the customer whether they want art instruction included. This changes the pricing and the setup requirements significantly.
Staff Requirements
Minimum 2 staff members are required for all private events:
| Role | Responsibilities |
|---|---|
| Lead | Primary contact with the event organizer, oversees setup and flow |
| Support | Handles drink orders, assists guests, manages cleanup |
If the event includes a painting activity, the artist instructor counts as a third person but does not replace the two staff requirement.
The Booking Process
1. Inquiry Comes In
A customer submits a request via the website form or email. Key details to confirm:
- Date and time
- Number of guests
- Type of event (birthday, corporate, bridal, etc.)
- Whether they want art supplies / a painting activity
- Any special requests (decorations, food from outside, AV equipment)
2. Generate a Quote
Use the admin portal at staff.ncmuse.co to create a quote:
- Select the date and time block
- Add line items (space rental, art supplies, drink packages if applicable)
- Add any custom notes or special pricing
- Send the quote to the customer via the portal (they receive it by email)
3. Customer Confirms and Pays
Once the customer approves the quote, payment is processed through Stripe. The event is then confirmed and appears on the staff calendar.
4. Event Day
Before the event:
- Arrive at least 1 hour early
- Arrange tables and chairs to the agreed layout
- If art supplies are included, set up stations (see Paint & Boba Setup for reference)
- Confirm drink prep is ready
During the event:
- Greet the event organizer when they arrive
- Handle drink service throughout
- Stay available but give the group their space
After the event:
- Follow standard Event Cleanup procedures
- Complete normal closing procedures if it is the last event of the day
WARNING
Outside food is welcome -- customers can bring ready-to-serve catering. Confirm this during the booking process so you can plan table space accordingly. Muse & Co does not provide food. For drinks, we offer drink packages or guests can order individually from the cafe.
