POS System Guide
The POS (point of sale) system is the tool you use to take orders, process payments, and manage transactions. It is a web-based application that runs in the browser -- no special hardware or software to install. This page gives you a high-level overview of how the system works. For step-by-step instructions, see How to Use the POS.
Accessing the POS
| Detail | Info |
|---|---|
| URL | staff.ncmuse.co/pos |
| Works on | Any device with a browser (iPad, laptop, phone) |
| Login | Same credentials as your staff portal account |
The POS is part of the staff portal at staff.ncmuse.co. Once you are logged in, navigate to the POS page. It is designed to work on a tablet (our primary register device) but also works on a laptop or phone in a pinch.
Menu Categories
The menu is organized into color-coded categories so you can find items quickly. Each category has its own icon and color:
| Category | Color | What Is In It |
|---|---|---|
| Coffee | Amber | Drip coffee, lattes, mochas, espresso drinks ($2 -- $6.50) |
| Boba | Purple | Classic boba milk teas, specialty boba drinks ($5.99 -- $7.50) |
| Milk Tea | Pink | Milk tea variations without boba by default |
| Fruit Tea | Orange | Fresh fruit teas, iced fruit infusions ($6.50) |
| Snacks | Red | Light bites and packaged snacks |
| Seasonal | Blue | Limited-time drinks and seasonal specials |
| Workshops | Indigo | Sit and Paint ($25), Paint & Boba ($45), event tickets |
Toppings Are Separate
Toppings (boba, jelly, pudding, popping boba) are not a category you tap into. They appear as add-ons after you select a drink. Prices range from $0.50 to $1.00 per topping.
How It Works (Overview)
The basic workflow for every order:
Select Category --> Tap Item --> Customize --> Add to Cart --> Checkout --> Payment- Select a category from the color-coded grid.
- Tap the item the customer wants.
- Customize -- set sweetness, ice level, and any other options.
- Add toppings if requested.
- Add to cart -- the item shows up in the order summary on the right side of the screen.
- Repeat for additional items.
- Checkout -- review the order, confirm the total, and select a payment method.
Payment Methods
| Method | How It Works |
|---|---|
| Card (credit/debit) | Customer taps or inserts their card. Processed through Stripe. |
| Apple Pay | Customer holds their phone or watch near the reader. |
| Google Pay | Customer holds their phone near the reader. |
| Cash | Enter the amount received. The POS calculates change automatically. |
Card and tap payments are preferred because they are faster and there is less room for error. Cash is always accepted.
Label Printing
When an order is completed, a label automatically prints on the Brother QL-820NWB label printer behind the counter. The label includes:
- Customer's name
- Drink name
- Customizations (sweetness, ice level)
- Toppings
- Any special notes
If the Label Does Not Print
Check that the Brother printer is powered on and connected to Wi-Fi. The printer has a small status light -- green means ready, red means there is a paper or connection issue. If it still will not print, write the order on a cup manually and troubleshoot the printer when you have a moment. See Label Printer for troubleshooting steps.
End of Day
At the end of your closing shift, you will need to close out the POS for the day:
| Task | What to Do |
|---|---|
| Cash count | Count all cash in the drawer and enter the total in the POS |
| Reconcile | Compare the POS cash total to the actual cash in the drawer |
| Close out | Confirm the end-of-day totals in the system |
The closing shift lead is responsible for the cash count and close-out. If you are on closing and the lead steps away, do not close out the register on your own -- wait for them to return.
For full details on end-of-day procedures, see the Closing Checklist.
Key Things to Remember
- The POS is web-based. If the page freezes, refresh the browser. Your cart may clear, but completed orders are saved.
- Always confirm the order with the customer before hitting checkout.
- If you make a mistake, you can void an order or process a refund. See How to Use the POS for those steps.
- Keep the POS tablet plugged in during your shift so it does not run out of battery.
