Register System (POS)
The register is an iPad/tablet running our web-based POS system. It handles all transactions, connects to the label printer for order labels, and processes card and mobile payments through Stripe.
System Overview
| Component | Details |
|---|---|
| POS software | Web-based, accessed at staff.ncmuse.co/pos |
| Hardware | iPad or tablet mounted at the counter |
| Label printer | Brother QL-820NWB (connected via WiFi) |
| Payment processing | Stripe (card swipe, tap/NFC, Apple Pay, Google Pay) |
| Cash drawer | Under the counter, connected to the tablet |
| Network | Must be connected to shop WiFi |
Starting the Register
Opening the POS
- Wake up the tablet (press the home or power button).
- Open the web browser (Safari on iPad, Chrome on Android).
- Navigate to staff.ncmuse.co/pos (it should be bookmarked or the default page).
- Log in with your staff credentials.
- Verify the label printer is connected (there should be a green indicator or a "Printer Connected" status in the POS).
Keep It Simple
The POS is a web app, so it works like any website. If something looks weird, try refreshing the page first.
Opening the Cash Drawer
- Count the starting cash (the manager will tell you the expected starting amount).
- Verify the count matches.
- If it does not match, note the discrepancy and tell the manager before starting service.
Taking Orders
Ringing Up a Drink
- Tap the drink category (Tea, Espresso, Specialty, etc.).
- Select the specific drink.
- Choose size and customizations (sweetness level, ice level, toppings, milk choice).
- The label printer will print an order label -- attach it to the cup.
- Repeat for additional items.
- Tap Charge or Checkout when the order is complete.
Payment Types
| Payment Method | How to Process |
|---|---|
| Credit/debit card (swipe) | Swipe through the card reader attached to the tablet |
| Tap to pay (NFC) | Customer holds card or phone near the card reader |
| Apple Pay / Google Pay | Same as tap -- customer holds phone near the reader |
| Cash | Enter the amount tendered, the POS calculates change. Open the cash drawer. |
Tips
Customers can add tips on the tablet screen after payment (for card transactions) or leave cash tips in the tip jar. The POS tracks card tips automatically.
Modifying or Voiding an Order
- To modify an in-progress order: tap the item you want to change, adjust, and save.
- To void an item: tap the item, then tap "Remove" or the trash icon.
- To void an entire transaction after payment: you will need manager authorization. Call the manager over -- they have the permissions to process refunds and voids.
Refunds Require a Manager
Staff cannot process refunds or void completed transactions on their own. This is a security measure. If a customer needs a refund, get the manager.
Label Printer (Brother QL-820NWB)
The label printer automatically prints drink labels when you ring up an order.
If Labels Are Not Printing
- Check WiFi. The printer connects over WiFi. Make sure the printer's WiFi light is solid (not blinking).
- Check paper roll. Open the printer cover and see if the label roll is empty or jammed.
- Refresh the POS page. Sometimes the browser loses the printer connection.
- Restart the printer. Turn it off, wait 10 seconds, turn it back on.
- If none of that works, you can write orders on cups by hand while the manager troubleshoots.
Replacing the Label Roll
- Open the top cover of the printer.
- Remove the empty roll core.
- Insert the new label roll, making sure the labels feed out correctly (printable side facing up).
- Pull the label end through the slot and close the cover.
- Press the feed button once to advance the first label.
Troubleshooting
| Problem | Fix |
|---|---|
| Screen is frozen | Refresh the browser. If still frozen, close and reopen the browser. Last resort: restart the tablet. |
| POS page will not load | Check WiFi connection. Reconnect to shop WiFi if disconnected. Try refreshing. |
| Card reader not working | Check that it is plugged in. Try unplugging and re-plugging the reader. |
| Payment declined | Ask the customer to try another card or payment method. Do not keep retrying the same card. |
| Stripe is down | Check status.stripe.com. If Stripe is having issues, accept cash only until it is resolved. |
| Cash drawer will not open | Try the manual release (small lever or key under the counter). |
| WiFi is down | Contact the manager. Without WiFi, the POS cannot function. Accept cash only and write manual receipts. |
End of Day
At closing, the manager (or designated closer) will run the end-of-day report from the POS, count the cash drawer, and reconcile. Follow the closing checklist for the complete procedure.
