POS System Guide

The POS (point of sale) system is the tool you use to take orders, process payments, and manage transactions. It is a web-based application that runs in the browser -- no special hardware or software to install. This page gives you a high-level overview of how the system works. Accessing the POS

The POS is part of the staff portal at staff.ncmuse.co. Once you are logged in, navigate to the POS page. It is designed to work on a tablet (our primary register device) but also works on a laptop or phone in a pinch.

The menu is organized into color-coded categories so you can find items quickly. Each category has its own icon and color:

Toppings Are Separate

Toppings (boba, jelly, pudding, popping boba) are not a category you tap into. They appear as add-ons after you select a drink. Prices range from $0.50 to $1.00 per topping.

How It Works (Overview)

The basic workflow for every order:

Select Category --> Tap Item --> Customize --> Add to Cart --> Checkout --> Payment
  1. Select a category from the color-coded grid.
  2. Tap the item the customer wants.
  3. Customize -- set sweetness, ice level, and any other options.
  4. Add toppings if requested.
  5. Add to cart -- the item shows up in the order summary on the right side of the screen.
  6. Repeat for additional items.
  7. Checkout -- review the order, confirm the total, and select a payment method.

Payment Methods

Card (credit/debit)Customer taps or inserts their card. Processed through Stripe.
Apple PayCustomer holds their phone or watch near the reader.
Google PayCustomer holds their phone near the reader.
CashEnter the amount received. The POS calculates change automatically.

Card and tap payments are preferred because they are faster and there is less room for error. Cash is always accepted.

Label Printing

When an order is completed, a label automatically prints on the Brother QL-820NWB label printer behind the counter. The label includes:

  • Customer's name
  • Drink name
  • Customizations (sweetness, ice level)
  • Toppings
  • Any special notes

If the Label Does Not Print

Check that the Brother printer is powered on and connected to Wi-Fi. The printer has a small status light -- green means ready, red means there is a paper or connection issue. If it still will not print, write the order on a cup manually and troubleshoot the printer when you have a moment. See Label Printer for troubleshooting steps.

End of Day

At the end of your closing shift, you will need to close out the POS for the day:

The closing shift lead is responsible for the cash count and close-out. If you are on closing and the lead steps away, do not close out the register on your own -- wait for them to return.

Key Things to Remember

  • The POS is web-based. If the page freezes, refresh the browser. Your cart may clear, but completed orders are saved.
  • Always confirm the order with the customer before hitting checkout.
  • If you make a mistake, you can void an order or process a refund. See How to Use the POS for those steps.
  • Keep the POS tablet plugged in during your shift so it does not run out of battery.
